Volunteers

All visitors to campuses or district facilities must show a current and valid driver’s license, state ID, military ID, or Passport and check in at the front desk using the district’s visitor management system, Raptor. All visitors must have a legitimate purpose for visiting a campus or district facility. Parents of enrolled students or prospective parents may arrange a visit, tour, or observation of their student, a teacher, the school, and/or the classroom by contacting the school directly. Visitors to schools must adhere to policy KI and all subsequent regulations. 

HUSD student volunteers contribute to their school community while developing responsibility, leadership, and workplace skills. A student volunteer opportunity must be created and supervised by a current HUSD staff member and approved by the school administrator. At no point can a student volunteer be responsible for supervising other students or be alone with students without a staff member present.  Student volunteers must be currently enrolled in HUSD and remain under direct staff supervision at all times. 

Student volunteers must adhere to policy JN, all subsequent regulations, and the HUSD student code of conduct. 

Student Volunteer Packet

Tier 1 is appropriate for parents or guardians volunteering in their own child’s classroom and for community volunteers whose duties do not involve direct or unsupervised interaction with students. A Tier 1 volunteer must remain under the direct supervision of an HUSD employee whenever students are present.

•  Classroom materials, copies, and organizational support
•  Classroom or event setup
•  Community breakfasts, pep rallies, book fairs, and similar campus events
•  Other site-level support assigned and supervised by school staff

Tier 1 applicants complete the paper application and return the entire packet to the front office of the school where they wish to volunteer. The school reviews and approves Tier 1 applications.

Tier 1 volunteer packet 

Tier 2 volunteers may perform all Tier 1 activities and may also participate in supervised activities involving students other than their own. Tier 2 volunteers remain under the direction and periodic supervision of an HUSD staff member.

• Chaperoning on-campus or off-campus day field trips
• Reading to small groups of students or facilitating small group student activities
• Leading small groups during day trips or campus-wide activities under staff direction

Tier 2 applicants apply through the Raptor Volunteer Portal and authorize a JDP criminal background check with monthly monitoring. The volunteer pays the initial $34 screening fee through Raptor; HUSD funds any screening costs above the initial $34. Approval is valid for two years from the approval date.

Tier 2 application

The information provided on your volunteer application must exactly match your government-issued identification, including your full legal name. Applicants are required to provide a valid email address to receive application status updates, approval notifications, renewal reminders, and other important volunteer communications. All information collected during the volunteer application and screening process is kept confidential and is used solely for the administration of the HUSD Volunteer Program. Personal information will not be shared outside of the volunteer program except as required by law or as necessary to complete required background screening and volunteer verification processes.

Tier 3 volunteers may perform all Tier 1 and Tier 2 activities. Under the direction of HUSD staff, Tier 3 volunteers may also serve as overnight trip chaperones or volunteer athletic coaches.

•  A valid Arizona IVP Level One Fingerprint Clearance Card is required before the Tier 3 application is submitted.
•  The applicant must also apply through Raptor and authorize a JDP background check.
•  The applicant pays the initial $34 background screening fee; HUSD funds any amount above the initial $34.
•  Tier 3 approval remains valid for two years from approval or until the IVP card expires, whichever occurs first.

A previously approved Tier 3 volunteer may reactivate after the two-year approval period by completing a new background check, provided the IVP card remains valid. A new or renewed IVP card is required when the card has expired.

Tier 3 application

The information provided on your volunteer application must exactly match your government-issued identification, including your full legal name. Applicants are required to provide a valid email address to receive application status updates, approval notifications, renewal reminders, and other important volunteer communications. All information collected during the volunteer application and screening process is kept confidential and is used solely for the administration of the HUSD Volunteer Program. Tier 2 and 3 volunteers are requesting to volunteer with other students other than their own. The background check is for the safety of all students. 

Sure! However, they must be cleared as Tier 2 if they are volunteering with children.

The background check is authorized by the volunteer through the Raptor Portal and is conducted by JDP.

We advise submitting the application at least 2 weeks before the volunteer event to allow for processing time.

You may not volunteer until you have received approval from the school site. We recommend allowing at least 2 weeks for processing.  

HOW TO OBTAIN AN IVP CARD

An IVP card typically takes 2-4 weeks. We advise to begin the process at least 6 week out of any event to be safe.
